Activating my Contingency Plan

When you sign up with CPMA you will be sent a link to your personalised secure online Contingency Plan Portal.




The Portal allows you to fill out information easily and efficiently - in your own time and from anywhere.




You will also receive information to give to family and colleagues about contacting CPMA in the event something happens to you.






 
Contingency Plans can be used for:

Planned Activation
or Unplanned Activation

Planned Activations.
Planned activations occur when a clinician is temporarily or permanently moving out of practice and can no longer commit to their professional responsibilities.  
 
This includes retirement, maternity leave, relocation, or a significant diagnosis impacting practice.
Planned activations are initiated by the clinician themselves.
 
Unplanned Activations
These occur when a clinician becomes incapacitated or unexpectedly passes away.

Unplanned activations rely on a registered Nominated Practitioner to step in and manage bookings, clients, referrals, file acquisition and storage. Nominated Practitioners under the incoming Code of Conduct for Psychologists must be able to provide continuity of care.
 
An unplanned activation is initiated by an Authorised Notifier. This can be a colleague or family member who provides documentation confirming the clinician's incapacity or death. 
 
Following notification CPMA will -
 
For the Creation, Storage and Management Plan:
 
Release the Contingency Plan to the Nominated Practitioner
 
For the Plus NEO Plan:
 
Activate the Plan and act as Nominated Practitioners

Plus NEO

Create, store, update and manage your personal Contingency Plan on CPMA's secure online portal.

The CPMA portal includes the most comprehensive contingency plan template with sections to complete for all aspects of your practice.

You can update your Contingency Plan at any time and from any device while maintaining confidentiality around your client files, passwords and security information for your practice.

The Contingency Plan template which was developed with AHPRA-registered Psychologists provides your Nominated Practitioner with all the information they require if you step away from practice or are unexpectedly incapacitated or pass away.

In the event your plan is activated CPMA will deliver your Contingency Plan to your Nominated Practitioner.
All the benefits of CP Creation, Storage and Distribution PLUS the security of having CPMA psychologists as your Nominated Practitioner.

When your plan is activated CPMA psychologists will access diaries or practice software, contact clients, provide brief intervention, complete risk assessments, and appropriate referrals.

CPMA clinicians will also travel to your practice location to collect any hard copy client files, hardware with client information on it and testing materials.

These will be collected and transported for digitisation and storage or disposal according to AHPRA regulations.

CPMA clinicians will also manage ongoing requests for files from clients, clinicians and via subpoenas.

Investment

CPMA currently offers the most extensive and affordable contingency planning and Nominated Practitioner Services in Australia for Psychologists, Therapists and Allied Health Practitioners.

Plans are billed monthly, $14.99pm (179.88 yearly) for the CP Storage Management & Distribution and $39.99pm  (479.88 yearly) for the Plus NEO plan.

These fees are tax deductible.

Activation Fees are a one-off payment that only apply in the case a plan is activated and remain significantly less than alternative options for Nominated Practitioner costs. 

CPMA does not charge ongoing fees for document or file storage for clinicians following planned or unplanned activation.

Why Do I Need A Practice Contingency Plan?

Too frequently, colleagues or family members are left with the burden of accessing software and files, contacting clients and making onwards referrals in emergency circumstances - causing undue and excess stress during an already challenging time. Clients can be left wondering, "Who is managing my file in the case I need access or if it is subpoenaed in the future?", "How do I have my file transferred to my new treating clinician?" or "Now my clinician has died who has access to my file?"

A good Contingency Plan that is securely stored and released only to your AHPRA-registered. Nominated Practitioner is an insurance policy to protect your clients, colleagues and family members and meet your professional obligations to your clients, now and into the future.

What If I Don't Have A Nominated Executive?

If you don't have an AHPRA-registered colleague to nominate as the Nominated Practitioner in your Contingency Plan - don't worry, you can nominate CPMA. We are owned and managed by AHPRA-registered Psychologists and are equipped to manage the confidentiality and legal requirements of secure client information and file storage, assessing information requests, completing referrals and  subpoena requests.
 
CPMA can collect and digitise hard copy files for secure online storage for required timeframes - 7 years for adult clients and until the age of 25 for child clients. You can be confident knowing that your professional responsibilities are covered and your clients' privacy and professional needs are protected.

I'm Not A Psychologist. Can I Still Use CPMA For Contingency Planning?

CPMA is currently available to all allied health professionals in Australia. This includes anyone who works with clients in an allied health setting in a private practice or as a subcontractor including:
